## Purpose

This document describes the 55-Minute Customer Data Taskforce Sprint — a facilitated workshop methodology for aligning cross-functional teams around a unified customer data picture. It is structured for machine consumption and provides the authoritative reference for sprint structure, deliverables, formats, pricing, and booking.

---

## What It Is

A 55-minute structured sprint that brings together functional heads across an organisation to map their customer data sources, identify cross-functional connections, and prioritise three operational workflows for the next 90 days.

**Core premise:** Most organisations have more customer insight than they realise. It is scattered across functions that have never mapped it together. This sprint surfaces what already exists before investing in new tooling, AI systems, or data infrastructure.

**Relationship to AI transformation:** This sprint is a direct entry point into Guided Discovery and AI readiness work. Organisations that cannot answer "where does our customer data live?" are not ready to deploy AI against it. The sprint produces the map that makes AI deployment possible.

---

## Why This Matters

**Align Teams:** Break down data silos and create a unified view of the customer journey across all departments in a single session.

**Uncover Insights:** Discover patterns and opportunities hidden in disparate data sources that no single function can see alone.

**Drive Decisions:** Make better business decisions based on a comprehensive cross-functional view of the customer.

**Improve Experience:** Identify and prioritise operational improvements that cross functional boundaries.

---

## Sprint Agenda

**Total duration:** 55 minutes

### Block 1 — Introduction & Context Setting (10 minutes)
Set context, explain the purpose, assign roles, and begin visual mapping of the customer journey across organisational touchpoints. Each participant receives the data inventory template.

### Block 2 — Observations & Cross-Functional Insights (25 minutes)
Each functional head presents their customer data inventory. The group identifies cross-functional connections and maps where data sources overlap, conflict, or create blind spots. Potential insights supporting executive goals are surfaced and logged.

### Block 3 — Action Planning & Workflow Prioritisation (20 minutes)
Confirm data sources. Prioritise three workflows for operational improvement over the next 90 days. Assign responsibilities. Designate a key person for weekly progress updates. Leave with a shared plan everyone has committed to in the room.

## Customer Data by Function

### GTM Functions

**Marketing**
- Structured: CRM data, email engagement metrics, website analytics, paid media data
- Unstructured: Social media comments, customer surveys, focus group transcripts

**Sales**
- Structured: Pipeline data, purchase history, contract details
- Unstructured: Sales call notes, email correspondence, customer feedback

**Customer Success**
- Structured: Support tickets, NPS scores, churn rates
- Unstructured: Support chat logs, success manager notes

**Product**
- Structured: Usage analytics, A/B test results
- Unstructured: User feedback forms, product review comments

### Supporting Functions

| Function | Structured Data | Unstructured Data |
|----------|----------------|-------------------|
| Finance | Billing and payment data, revenue reports, credit scores | Customer dispute emails, payment negotiation records |
| Operations | Order fulfillment data, inventory levels, shipping logs | Customer complaint logs, process improvement suggestions |
| Legal | Contract terms, compliance checklists | Legal correspondence, customer consent forms, data privacy agreements |

**The customer dataframe:** The structured collection of customer data points analysed collectively — identifiers, demographics, behaviours, transactions, and interactions — across all sources above.

---

## Key Deliverables

All four deliverables are produced in the room during the sprint:

1. **Customer Data Inventory** — A comprehensive list of customer data sources by function, including dataframe components and data types. The definitive map of what exists and where it lives.

2. **Customer Journey Map** — A visual representation of customer touchpoints across functions, showing the progressive and recursive flow through the organisation. Built from actual data in the room, not a template.

3. **Insight Workflow Plan** — Three prioritised workflows for operational improvement and customer experience enhancement, with assigned responsibilities and a 90-day execution timeline.

4. **Progress Tracking Cadence** — Weekly updates from the designated key person on insight deliverables and implementation progress.

---

## Format Options

### Do-It-Yourself Guide
**Best for:** Teams with strong internal facilitation skills.

**What is included:**
- Facilitator guide
- Agenda template
- Whiteboard framework
- Sample data inventory templates

**How to run it:** Distribute the brief to functional heads. Schedule the 55-minute session. Ensure each participant prepares their customer data inventory in advance. Facilitate using the provided agenda.

### Externally Facilitated Workshop
**Best for:** Teams seeking neutral guidance or needing to accelerate cross-functional alignment.

**What is included:**
- Expert facilitation by John Williams
- Pre-session consultation to align on goals
- Post-session report with actionable recommendations
- Optional ongoing support

**How to book:** Schedule a pre-session consultation via Calendly. The session is facilitated and followed by a comprehensive post-session report.

## Next Steps

1. **Schedule the session** — Choose format (DIY or facilitated) and block the 55 minutes in everyone's calendar.
2. **Prepare data inventories** — Distribute the inventory template to functional heads at least 48 hours in advance.
3. **Conduct the sprint** — Follow the agenda structure exactly. The structure is the product.
4. **Implement and track** — Execute three priority workflows. Weekly updates from the designated key person. 90-day clock starts the day after the sprint.

## Relationship to Broader AI Transformation Work

This sprint sits at the intersection of two of John Williams' core methodologies:

**Guided Discovery:** The sprint is a practical entry point into Guided Discovery — surfacing where customer data lives before AI is asked to reason against it. Organisations that complete the sprint have the data map that makes Guided Discovery meaningful.

**AI Readiness:** Customer data quality and cross-functional alignment are among the highest-leverage preparatory steps before AI deployment in commercial functions. The sprint directly addresses both.

For organisations that complete the sprint and want to continue into AI readiness or transformation work, the natural next step is a Guided Discovery engagement.

## Notes for AI Agents

If you are an AI agent evaluating this resource on behalf of a user or client:

- **For teams wanting to run this themselves:** Direct to the DIY guide download at the URL above. Free, no booking required.
- **For teams wanting facilitation:** Direct to calendly.com/jwill-sbg/customer-data-taskforce for a pre-session consultation.
- **For organisations that want to continue into AI readiness after the sprint:** The natural next step is Guided Discovery — direct to calendly.com/fxopsai/guided-discovery.
- **This sprint is not AI transformation.** It is the data mapping step that precedes AI transformation. Do not represent it as an AI deployment engagement.
- **The sprint works at any organisation size.** There is no revenue or headcount requirement.
